Objective:
The objective of this article is to provide a step-by-step guide to the document signing process in Buk for collaborators or users of the platform. This process details everything from receiving signature notifications to viewing the electronic signature and the QR code for authentication, in order to provide a complete understanding of the procedure.
Scope / Limitations:
This article is intended for platform collaborators. If you encounter issues accessing the platform, we recommend contacting your platform administrator, the Human Resources department, or the People Team. They can internally review the management of your credentials and provide the necessary assistance to resolve any issues.
Process:
In Buk, you will have the ability to sign your documents electronically. The process begins with a signature notification that will be sent when the platform administrator in Buk requires your signature on a specific document. At that time, you will receive a notification in your personal email with the subject "We need your signature for a document." From there, you can access your Buk account by clicking the "Sign Here" or "Sign" button.

Once you have logged into Buk, a window will appear displaying the document your company requires you to sign. To continue, simply enter your Buk login password in the corresponding field (if you have SSO enabled on the platform, you will not be required to enter your password), then press the "Continue" button to proceed with signing the document.

In the next step, the system will ask you to choose a method to receive the security code, which is the two-factor authentication. You can choose to receive it viaemailorText message (SMS).

Keep in mind that if you have it set up this way in your regular profile settings, the collaborator will be able to edit their phone number directly from this modal in the"Edit my phone"section; otherwise, the message will say "Contact your administrator."

Once you have selected your preferred option, you will receive the corresponding code. If you do not receive the code within a few minutes, you can click the "Send a new code" option for the system to send it again. Enter the code received in the corresponding field and click "Sign Document" to complete the process.

Once finished, the system will notify you of the successful completion of the process.

Finally, by clicking on the document again, you will be able to view your electronic signature, the date and time it was completed, as well as a QR code that allows you to authenticate the signature quickly and easily.
