In this article, you will find out how to create goals in the Library and how to assign them to employees, either individually (from the employee profile or from the Goals section) or in bulk using Excel templates. With the new model, goals are first created centrally in the Goal Library and then assigned to people.
Permissions and access:
Access to the Goals section and the available actions depend on each user's profile and the permissions configured in your organization. Broadly speaking:
| Action | Administrator (Profile with permission to modify Goals) | Supervisor (Standard profile with assigned employees) | Employee (Standard profile without assigned employees) |
| View the Goals section (Organizational Development > Talent > Goals) | ✅ All goals | ✅ Only those belonging to their team | ✅ Only those created by them and those they have permission to assign to themselves. |
| Create, edit, and delete goals in the Goal Library | ✅ | ✅❌ Can create goals, but can only edit and delete those they created themselves. |
✅❌Only those created by them. By default, they remain private. ⚠️ Only if the “Allow employee goal assignment” option is enabled |
| Assign goals individually (profile or Goals section) |
✅ To everyone allowed by their area/profile limit. They can assign goals created by them or by someone above them. |
✅ To their team. They can assign goals created by them or by someone above them.
|
⚠️ Only assign goals to themselves, if the “Allow employee goal assignment” option is enabled |
| Assign goals in bulk (importer) | ✅ | ⚠️ Only if they have importer permissions | ❌ |
| Approve and activate goals | ✅ | ✅ For their team | ⚠️ Only if the "Employee approves goals" option is enabled |
| Update progress | ✅ | ✅ For their team | ⚠️ Only if the "Allow employee to edit their progress" option is enabled |
Considerations about this article
In this article, we use "Goals" to refer to the targets that employees must achieve. The name of the “Goals” may vary depending on your organization's configuration (for example, "Targets"). For the purposes of this article, we will consistently use the term "Goals."
Contents of this article:
Creating a goal in the Goal Library
Before assigning a goal to employees, it must exist in the Goal Library. To create one, go to Organizational Development > Talent > Goals and open the "Goal Library" tab. Click "Create Goal" and complete the following fields:
- Name: the goal title (required).
- Description: an explanation of what is expected to be achieved.
- Category: the goal classification (required).
-
Visibility status: defines the goal's availability when assigning it:
- Visible: everyone will be able to view and assign it.
- Private: it will only be visible to its creator, who will be able to assign it.
- Not visible: it will function as a draft and will not be available for assignment.
A goal with a “Not visible” status will not appear when making an assignment, but its history and existing assignments will be retained.
Keep in mind that the ability to assign a goal also depends on its creator's area permissions. If the creator's access is restricted to a specific area, only members of that same area will be able to find and assign the goal. Once saved, the system will automatically record the author, and the goal will be ready to be assigned individually.
To review the complete list, go to Organizational Development > Talent > Goals, on the "Goal Library" tab. There, you can view the goals you created, as well as those created by other users (as long as you have access to them according to your profile). For more details about the latter, see the Permissions and access table mentioned above.
Assigning goals individually to employees
Once the goal has been created in the Library, you can assign it to employees in two ways: from the employee profile or from the Goals section.
Note: If the “Allow employee goal assignment” option is enabled, the employee will only be able to assign goals to themselves from their profile.
From the employee profile
Access the employee's profile using the search tool. Once inside, go to the "Talent" section and select the "Goals" tab. Then, choose the appropriate period from the period selector. You can review goals assigned in previous periods and manage those for the current period (as long as it is open).
To assign a goal, click the "Assign goal" button. A window will open where you must complete the following fields:
- Goal: select the goal from the Library (required). The name and category are taken from the base goal, so they are not entered manually.
- Period: select the goal period.
- Expected result: define the target to be achieved.
- Indicator: specify the indicators that will be used to measure progress.
- End date: set an end date as a reference.
- Weight: indicates the relative importance of the goal within the selected category; remember that the sum of the weights in a category must be 100%.
- Progress Scale: to determine the scale calculation methodology.
- Progress: you can record progress toward achieving the goal; you can leave it blank when creating the goal and update it during the period as needed.
You can also configure the following options:
- Notify employee of goal: an email will automatically be sent to the employee when the goal is assigned.
- Allow employee to edit their progress: employees will be able to modify and update their progress directly from their profile.
- Activate goal: it is important to activate goals so they can be included and measured in a performance review.
From the Goals section
You can also assign goals without opening each person's profile. Go to Organizational Development > Talent > Goals and open the "Employees" tab. In the "Open periods" view, click "Assign Goal" and complete the same form described above, selecting the goal from the Library.
Assigning Category Weights
Once goals have been assigned within the different categories, you can assign weights to each one to calculate the cumulative progress chart and use them in your evaluations. To do this, go to the "Goals" section within the employee profile and click "Category weight."
A window will open where you can modify the weights assigned to the different goal categories, remembering that the total must add up to 100%.
Bulk importers
There are two importers available for goals. Choose according to your needs:
| I need to... | Use | Note |
| Create or modify goals in the goal library in bulk | Goal Library Importer/Modifier | They can be used when assigning goals through the form, both in the profile and in the module. |
| Load goals directly for employees, with weight, target, and progress | Goal Importer/Modifier (full, partial, or overwrite load) | Goals assigned through the old goal importer appear in the goal library with a “legacy” tag; however, they cannot be selected in the goal assignment form. |
Both currently coexist. The goal importer continues to work as it has up to now.
1. Goal Library Importer
Allows you to create library goals in bulk from an Excel template. A library item is the base goal (name, category, and description) that is later assigned to employees. This upload does not assign goals to anyone.
How to access it
Go to "Reporting" > "Importers" > "Importers" > "Talent" category > “Goal Library”.
You will see the upload history. To start a new one, click "Start Process," download the template, complete it, and upload it using "Upload Template."
Template
The template has two sheets:
- Instructions: explains how to complete the upload sheet.
- Goal library goals: goals are entered here.
Fields marked with an asterisk * are required.
| Field | What to enter |
| Name* | Goal name. The combination of name and category cannot be repeated, either in the file or with goals you have already created. |
| Category* | Goal category name, exactly as configured on the platform. |
| Description | Free text. |
| Status | Visible, hidden, or private. |
Do not change the names of the sheets.
What to consider
- This upload only creates new goals. There is no "Overwrite" option. To correct library goals that have already been created, use the Goal Library Modifier.
- The library upload does not include weights, targets, or validation that the weights add up to 100%. These are defined when assigning the goal.
Goal Library Modifier
Allows you to correct existing library goals in bulk without creating them again. If the goal has already been assigned to employees, the changes will be reflected in all their assignments.
How to use it
- Enter the modifier, click "Start Process," and download the template. It comes preloaded with your current library goals.
- Edit only the columns you want to change.
- Upload the template using "Upload Template."
Template
Single sheet: "Goal Library Modifier."
| Field | Can be edited | What to enter |
| ID* | No | Goal identifier. It is preloaded; do not modify or delete it. |
| Name | Yes | New name. It cannot match another goal of yours in the same category. |
| Category | Yes | Category name. |
| Description | Yes | Free text. |
| Status | Yes | Visible or hidden. |
What to consider
- You can only modify the goals you see in the library.
- If you change the category of an already assigned goal, the employees' category weights are updated automatically: the weight for the new category is created, and the weight for the previous category is removed if it no longer has any goals.
2. Goal Importer (assignment)
This importer creates and assigns a goal for each employee. It currently does not include the goals from the Library in the list. Bulk goal upload has two modes:
- Full upload: This mode is used when you want to upload the complete set of goals for a period. In this case, the sum of the weights of each employee's goals, by category, must be exactly 100%.
- Partial upload: This mode allows you to add specific goals without needing to upload all the goals for the period. When using this option, the sum of the weights will not be validated as reaching 100%; however, it will be validated that the sum of the weights does not exceed 100%.
You can import goals in bulk using Excel templates. To access this option, go to the "Reporting" module, select the "Importers" section, and then select "Importers" again. From the available categories, choose "Talent" and then "Goals (Importer)".
When you enter the importer, you will see a table with the Upload history, where each row represents a different upload. From this view, you can download files you uploaded previously or manage a new upload.
- If you want to reuse a file from a previous upload for a new bulk upload, you can copy the relevant data, update the 'Period' field (if necessary), and make sure that the required fields match the current template configuration before uploading it again.
To begin a new upload, click "Start Process." This button will open a window with the instructions to follow for uploading goals.
In the importer window, select the period in which you want to enter the goals.
By default, the system selects full goal upload. If you want to perform a partial upload, select the checkbox “Partial goal upload.” If you do not select this option, the system will assume that you want to perform a full upload.
Then, download the Excel template using the "Download Template" button.
The downloaded Excel template contains three sheets. Fields marked with an asterisk * are required.
Instructions (Sheet 1)
Includes detailed explanations of how to complete each sheet. It is organized by color:
- Light blue for the “Load Goals” sheet.
- Gray for the “Configure Category Weight” sheet.
Load Goals (Sheet 2)
Goals are entered on this sheet. The fields to complete are:
-
Document Number*: Enter the Employee Document Number using the correct format and with no spaces before or after it.
- Format examples: 12.345.678-9; 12345678-9; 123456789.
- Profile Code*: Enter the employee's profile code. You can leave this field blank if the employee has only one profile on the platform. To obtain this information individually, open the employee's profile and verify the code (generally F1, F2, etc.) that appears in the upper-right corner of their profile. If you need to obtain this information in bulk for several employees at once, you can do so from the Exporters section using the report or template called "Employee Master."
- Category*: Enter the Goal Category name exactly as written in the examples.
- Description*: Enter the Goal name.
- Notes: Define the Goal indicator (e.g., Annual Closing Rate per PM greater than 40; Outstanding: >40
- Expected result: Define the target to be achieved (e.g., 40)
- Progress: Range from 0 to 100
- Scale: Enter the name of the Progress Scale. If you do not have defined scales, the simple scale will be used.
- End date: The date format is DD-MM-YYYY. Example: 30-01-2025
- Weight*: Range from 0 to 100
- Approved: Enter Yes or No
- Active: Enter Yes or No
- Allow Employee to edit their progress: Enter Yes or No.
- Notify when creating Goal: Enter Yes or No. Indicates whether you want both the employee and their supervisor to receive an email notification when a new goal is assigned to the employee.
After this last column, custom attributes may appear if the company has configured them. These additional fields will depend on each specific configuration.
Configure Category Weight (Sheet 3)
Weights are assigned to categories here. This sheet contains the following fields to complete:
- Document Number*: Enter the Employee Document Number using the correct format and with no spaces before or after it.
- Profile Code*:Employee profile code.
- Category:Enter the Goal Category name.
- Category weight: Range from 0 to 100
Keep in mind that some fields have preset options based on your platform configuration. For example, in our case, the "Category" field displays options such as Technology, Product, Ownership, Team, Leadership, or Process. However, these are only examples and may vary depending on each customer's configuration. For more details, see the instructions sheet. An example image is shown below:
👀Important: Do not change the names of the sheets.
Once both sheets have been completed with the goal information, return to the platform and click "Upload Template" to upload the Excel file and complete the import process.
Overwriting goals:
If you need to replace existing goals in a period with new goals, first select the period you want to update and then select the “Overwrite goals” option. Next, download the template, edit it by deleting, modifying, or adding the goals you need, and save the changes. The downloaded template will include all goals already loaded on the platform for each employee.
Additionally, you can select both options at the same time: "Allow partial upload" and "Overwrite goals." In this case, only the goals of the employees included in the template will be replaced, without affecting other goals, and the weights will not be validated as adding up to 100%.
- For example, if the file contains only one document number, only that employee's goals will be overwritten.
Finally, return to the platform and upload the completed template using the “Upload template” button to complete the process.
Reviewing the bulk goal upload:
After uploading the file, you will return to the upload history, where you can verify the status of each upload, whether successful or with errors. Keep in mind that an "error" status does not necessarily mean that the entire document is incorrect; it may be due to one or more rows with specific issues.
To review the errors, simply click the download button corresponding to the upload you want to examine. This will download a new version of the file in which the rows with errors are marked in red. In each of these rows, the last column will indicate the reason for the error, although only the first error detected per row will be shown.
You can correct the errors directly in that template or in the original, making sure to remove them before uploading it again. You can upload the same file again after making the necessary corrections.
Once the upload is successful, you can view the goals from the employee profile or from the Goals module.
