Welcome to the first step in transforming your company's asset management! In this phase ofInitial Setup, you will prepare the module to run like a well-oiled machine, ensuring control, security and efficiency from the very first moment.
Here you'll learn to:
🔹 Assign key permissions so your team can work without obstacles.
🔹 Create custom attributes (such as serial numbers or purchase dates) to tailor the module to your unique needs.
🔹 Structure the system foundation, leaving everything ready to add categories and products.
Why start here?A solid configuration prevents future errors and saves hours of rework. Follow this step-by-step guide and in minutes you'll have the foundation ready to scale your asset management!
Step 1: Assign key permissions
- Permissions for Module Administrator
🖇️(⚙️Administration > 👥Users and Profiles > Profiles Tab >[Select profile to assign permissions]> Administration Tab)
On this tab you'll find two types of permissions:
Asset Management Inventory: Allows creating, assigning and generating movements for assets.
Asset Management Configuration: Allows creating Categories and Products from which assets are created.
- Permissions for collaborator and supervisor to view the Assets Tab
🖇️(⚙️Administration > 👥Users and Profiles > Profiles Tab >Button "Normal Profile Configuration"> Permissions Tab)

Step 2: Custom attributes
🖇️(⚙️Administration > ➡️Custom attributes)
The Asset Management module allows you to define custom attributes both for Products (e.g.: barcode, warranty) and for individual Assets (e.g.: serial number, supplier).
✨Key recommendation:
Create these attributesbeforeregistering your products and assets. This will optimize:
✔️ Manual information entry.
✔️ Bulk data import.
✔️ Consistency in your records.
-
Button "Create custom attribute"
-
Select the entity for which you want to create the attribute, "Products" or "Assets"
- Option to add filter
There is an option to add a filter so the attribute appears according to the defined condition, i.e., based on the type of Product or Asset you select.
To enrich an Asset's information, you can create an attribute that's exclusive to certain Assets or Products
Example: That products with category “Computadores”, “Celulares” and “EPP” have the attribute “Barcode”
- Option: custom date-type attribute with expiration notification
There is an option to define an expiration notification for custom attributes of thedatewith the purpose of ensuring the tracking and compliance of important milestones related to assets, such as the expiration of personal protective equipment (EPP), scheduling maintenance, among others.
When creating a custom date-type attribute, you can configure the number of days in advance you wish to be notified. The platform automatically generates an alert that appears in the user's "Pending Tasks" section, ensuring critical dates are not overlooked.
Step 3: Access to the module
Configuration ready! 🎉You now have the foundation of your module perfectly configured and ready to operate. 🔧✅ Now it's time to take the next step: structure your asset catalog by creating categories and products.
